Why do interior and site projects get messy?
One project involves a designer, a site supervisor, carpenters, electricians, material suppliers and a client who changes their mind. Each speaks to the owner on WhatsApp, and the project's real state is spread across a dozen chats and a few sheets.
A quotation is built line by line in a spreadsheet, revised three times, and the final version is not always the one the site follows. The client asks what changed and why the bill is higher. Nobody can answer quickly.
What does it cost the business?
- Scope creep that is never priced, because the change request lived in a voice note.
- Material ordered twice, or not at all, because the order list is in a supervisor's phone.
- Vendor payments made without checking work done.
- Client calls every evening asking for site photos.
- Margin unknown until the project closes, since costs are tallied late.
The tool you need is smaller than most people think: one record per project, with quotes, tasks, costs and photos attached.
What would a first Build contain?
- A quotation builder with your item rate list, room-wise sections and revision history. A client can approve a version with one tap.
- Project records created from approved quotes, with phases and milestone payments.
- Site updates: the supervisor posts a photo and a short note against a room or phase from a phone.
- Material and vendor orders against a project, with expected delivery and status.
- Costs recorded against the budget, so you see running margin per project.
- Change requests: each one gets a price and the client's approval before work starts.
- A client link showing progress photos, approved quotes and payment status.
Roles are owner, designer, supervisor, accounts and client. The quote format and the rate list are your own.
What should such a firm not build first?
Do not build 3D design or drawing tools. Keep using the products designers know. Do not build a marketplace of vendors. Skip bill-of-quantity automation from drawings and AI design suggestions in version one: they depend on clean historical data you will only have after the tracker has run for months.
Building approvals, structural decisions and safety rules belong to the professionals responsible. Software can store the documents and reminders, but it does not replace their sign-off.
What does it cost in INR?
| Scope | What it covers | Price | Time |
|---|---|---|---|
| Build: projects and updates | Projects, site photos, tasks, material orders, payments | ₹1.7L–₹2.5L | 3–4 weeks |
| Build: with quote builder and client link | Adds quotations with revisions, change requests and client page | ₹1.5L–3.5L | 3–4 weeks |
| Platform | Multiple sites, inventory by site, vendor billing, accounting export | ₹3.5L–8L | 5–8 weeks, then phases |

How do you start without slowing live projects?
- Pick two running projects and one finished one. We use their quotes, payment schedules and photos to write the scope.
- Approve a prototype, then try the site-update screen with your supervisor for a week.
- Load running projects once the screens feel natural.
- Move new quotes into the tool after acceptance.
The full process is on how we build. If you are also evaluating ready-made products, custom CRM versus Zoho shows how to judge fit.
Frequently asked questions
Can supervisors post updates from site?
Yes, from a phone browser, with photos. Poor network on site is handled by retrying the upload.
Can it make my quote format?
Yes. We build to your rate list and layout. Terms and legal wording stay yours.
Does it handle GST invoices?
It can produce invoice data for your accounts tool. See the GST invoicing guide for when to keep Tally.
Can clients approve a design change?
Yes. Each change request shows its price, and approval is recorded with a date.
Do you do 3D renders?
No. Keep your design software and attach the outputs to the project.
How long does a first version take?
About 3–4 weeks. We write the scope from your real quotes, show a prototype in week one, and test the site-update screen with your supervisor before handover.
Can it track vendor payments against work done?
Yes. Each payment is linked to a project phase and the site update that shows the work, so the owner can see what was paid and what was completed.
