Custom CRM versus Zoho or HubSpot for a small business in India

Use Zoho CRM, HubSpot or a similar product when your sales process is standard; it is cheaper and faster. Consider a custom CRM when your process has unusual stages, approvals or links to operations that a product cannot fit. A custom CRM is a Build, ₹1.5L–3.5L, in 3–4 weeks.

Key facts

Custom CRM versus a CRM product (indicative)
Ready-made CRMZoho CRM, HubSpot, Freshsales, Pipedrive and others; monthly per-user plans
Custom CRMA Build, ₹1.7L–₹2.5L for a focused tool, fixed price
Product pricesThird-party and they change. Check each vendor's current pricing page
Hosting of customYour cloud account; small monthly cost paid to the cloud provider
OwnershipCode, data and accounts are yours with custom; with a product you rent access

When is a ready-made CRM the right answer?

More often than software studios admit. If your team follows a common path of lead, call, quote, follow-up and close, products like Zoho CRM and HubSpot already do it, with email sync, reports, mobile apps and integrations that took years to build. You can start this week, for a monthly fee per user.

Choose a product when you have fewer than ten users, when your process is standard, when you want to try CRM habits before committing, or when nobody on your side will own a custom tool. Neither is a bad tool, and both can be configured a long way before you hit a wall.

When does a custom CRM make sense?

  • The pipeline is not a pipeline. Deals have site visits, measurements, approvals or document stages that products model badly.
  • The CRM must talk to operations. Orders, stock, dispatch, service tickets or commissions live in the same record.
  • Per-seat pricing hurts. Many field staff need to log a few things, and paying for each is wasteful.
  • Your team works around the product. They keep the real data in a sheet because the CRM does not fit.
  • You need a clear data boundary, such as hosting in your own account.

Industry examples: real estate brokers with site visits and commission splits, or coaching institutes with batches and fee plans.

How do the two compare side by side?

Be sceptical of anyone who says one side always wins. The numbers depend on your headcount, your growth and how well your process matches the product.

How should you compare cost over three years?

Do not compare a first-month fee with a build price. Add up three years for each route.

  1. For the product: users times the monthly plan you would really need, times 36, plus set-up, paid add-ons and the integrations you buy. Get the figures from the vendor's current pricing page and a written quote.
  2. For custom: the fixed build price, hosting, and any support or changes you expect to pay for.
  3. Add the staff time spent on workarounds under each option. This is usually the larger number.

We keep product prices out of this guide because they change often and by plan. Our own prices are on one page: what you get at each Neyven price.

Is there a middle path?

Yes. Many teams start on a product and build a thin tool beside it, covering the one part that does not fit, such as a site-visit log or a quotation builder, and sync to the CRM. This is cheaper than replacing the CRM and keeps its reporting. Low-code versus custom software discusses the in-between options.

If you do go custom, the project runs as described on how we build: scope and price first, a prototype in week one, then live previews. Bigger systems with many roles and integrations would be a Platform package, ₹3.5L–8L.

Frequently asked questions

Can you build on top of Zoho or HubSpot?

Often yes, through their APIs. That can be the cheapest way to add one missing feature.

Can I move my data out of Zoho later?

Products usually offer exports. Check the format and limits before you commit.

Is custom more secure?

Not automatically. Security depends on how it is built and run. Vendors invest heavily here, so ask us how we handle it.

Who fixes it if it breaks?

You hold the code, so any developer can. We offer optional support.

What if I outgrow the custom CRM?

Because the code is yours, it can be extended in phases or its data exported to a product.
