Key facts

Is off-the-shelf billing software enough for you?
If your invoices are written by hand from a price list, a product is almost always the answer. Tally, Zoho Books, Vyapar and similar tools cover GST invoices, party ledgers, stock, payment reminders and reports for the common cases. Their makers track rule changes as part of the product, and your accountant already knows some of them.
This guide is about software choice, not tax. What to charge, how a transaction is treated, which returns to file and when e-invoicing applies to you are questions for your tax professional. Neither a product nor a custom tool replaces that judgement.
When does custom billing become worth it?
- Invoices come from operations. A transport firm bills delivered trips, a contractor bills milestones, a school bills fee plans.
- Someone re-types the same data into the invoice that is already in your tracker.
- Pricing is rule-based: slabs, per-unit rates, discounts by customer or approval limits.
- Billing needs approvals before an invoice is released.
- You send the same invoice details to customers on WhatsApp and chase payments by hand.
If none of this is true, buy a product. If two or more are true, see what a small custom layer would save.
What does a custom billing layer actually do?
It rarely replaces the accounting package. It sits upstream: it takes a delivered trip, a completed job or a confirmed order and produces a correct invoice draft using your rates, then exports the data in a form your accounts tool can import, or pushes it through that tool's API if one exists.
| Task | Accounting product | Custom layer |
|---|---|---|
| Books, ledgers, GST reports | Yes, this is its job | No; export to the product |
| Invoice from operational data | Manual entry or import | Automatic draft with your rules |
| Approval before release | Limited | Built to your approval chain |
| Payment follow-up on WhatsApp | Often a paid add-on | Part of the flow, if scoped |
| Filing returns | Product exports data | Not our job; stays with you |
Because tax rules change, any custom invoice template and tax logic is set from settings you control and reviewed by your tax professional before use. We do not give tax advice.
What does it cost in INR?
| Scope | Example | Price | Time |
|---|---|---|---|
| Billing step in a Build | Invoice drafts from trips or jobs, approvals, export to accounts | ₹1.7L–₹2.4L | Within 3–4 weeks |
| Stand-alone billing and dues tool | Customers, rate rules, invoices, payments, reminders | ₹1.5L–3.5L | 3–4 weeks |
Tally, Zoho Books and Vyapar run on their own plans, so check each vendor's current pricing and compare it with your real needs. WhatsApp message charges go to the messaging provider. The cost estimator helps with a first range.
What should you avoid building?
Avoid writing your own tax engine, return filing or full ledgers. They are maintained products with large teams behind them, and the risk is yours if you get them wrong. Avoid replacing your accountant's package just because it is old; change it only if it is the cause of the pain.
If your pain is typing, fix the typing. For examples, see transport businesses and interior and construction firms, where billing follows work done. How we build explains the steps for a focused project like this.
Frequently asked questions
Is custom software GST compliant?
We make no compliance claim. Rates, fields and rules come from settings your tax professional approves, and you remain responsible for filings.
Can it create e-invoices?
It can prepare data for the e-invoice process where an API or portal route exists. Whether e-invoicing applies to you is for your tax professional to confirm.
Can it export to Tally?
Often yes, through an import format. It is scoped as an integration.
Should I replace Vyapar or Zoho Books?
Only if it is the cause of your problem. Usually add a layer in front of it instead.
Who updates it when rules change?
Settings you control cover most changes. Structural changes are quoted as a change request or covered by optional support.
